Tournament Privacy Policy
This Privacy Policy explains how NMAO Inc. ("NMAO," "we," "us") collects, uses, shares, and protects information in connection with the NMAO video martial-arts tournament platform, including our mobile and web applications for competitors, parents/guardians, schools, and judges (together, the "Service"). The NMAO Tournament platform is operated separately from, but alongside, the NMAO Accreditation and NMAO Member Platform products.
Information We Collect
Information you provide
When a school, a parent/guardian, or an adult competitor creates an account and enters the tournament, we collect:
- Competitor information: name, date of birth or age bracket, declared rank (beginner / intermediate / advanced), the martial-arts school the competitor is affiliated with, and event entries.
- Parent/guardian information (for minors): name, relationship to the competitor, email address, and phone number, used to obtain consent and to communicate about the competitor's participation.
- Competition video: the video each competitor submits for an event, which is the item that is judged.
- Account and contact details for schools, instructors, and judges who use the Service.
- Support and correspondence you send to us.
Competition video
Competition videos are stored as private content in our secure cloud storage (provided by Supabase) and are not publicly discoverable; access within the Service requires a signed, time-limited link. Videos are accessible to the competitor and their parent/guardian, the judges assigned to score that entry, the competitor's school, and NMAO staff. When a competitor takes part in a peer “duel” (see In community “duels” below), that duel video is also shown to other competitors who vote on it. We describe how long we keep videos, and how they may be used, under Data Retention and Children's Privacy below.
Payment information
Entry fees and related payments are processed by our payment provider (Stripe). We do not collect or store full payment-card numbers on our servers; that information is handled by Stripe under its own security and privacy practices. We retain limited payment records (such as amount, date, and a payment reference) for accounting, tax, and dispute-resolution purposes.
Shipping information
Collectible medals are shipped in bulk to the competitor's school for the instructor to distribute. We collect the school's shipping address for this purpose; we do not require competitors' home addresses to ship medals.
Information collected automatically
When you use the Service we automatically collect standard technical information such as device and browser type, IP address, app version, and usage and diagnostic logs, used to operate, secure, and improve the Service.
How We Use Information
We use information to:
- Run the tournament — sort entries into fair divisions and pods, route videos to judges, score entries, calculate placements, ratings, and season standings, and generate medal shipping lists.
- Process entry-fee payments and calculate and pay school revenue shares.
- Communicate with competitors, guardians, schools, and judges about rounds, deadlines, results, and account matters.
- Keep the platform safe — including reviewing reported content and enforcing our rules and code of conduct.
- Use competition videos and a competitor's likeness for promotional and marketing material, only where a parent/guardian (or an adult competitor) has agreed to this in the applicable consent or waiver, and for no other purpose.
- Comply with legal obligations and protect our rights and the rights of others.
How We Share Information
With the competitor's school
A competitor's school can see that competitor's entries, results, ratings, medals, and related information so the school can support the competitor and receive its shipments and revenue share.
With judges
To score an entry, an assigned judge is given access to that entry's video and the information needed to judge it. Judges are excluded from scoring competitors from their own school, and are bound by confidentiality expectations.
In community “duels”
The Service includes an optional feature called a “duel,” in which two competitors' short videos are shown head-to-head and other competitors vote on which they prefer. Duel videos are private/unlisted, are shown only to signed-in competitors within the Service, exclude anyone a competitor has blocked, and can be reported and removed. A competitor takes part in duels only where the parent/guardian (or an adult competitor) has agreed to community voting in the applicable consent.
With service providers (subprocessors)
We share information with vendors that help us operate the Service, only as needed to perform their functions:
| Provider | Purpose |
|---|---|
| Supabase | Database, authentication, application hosting, and private storage of competition videos |
| Stripe | Entry-fee payments and school payouts |
| Email / SMS providers | Account, deadline, and results notifications |
For legal reasons
We may disclose information if required by law or to protect the safety, rights, or property of competitors (including children), the public, or NMAO.
In connection with a business transfer
If NMAO is involved in a merger, acquisition, or sale of assets, information may be transferred as part of that transaction, subject to this Policy.
The Service may display sponsor content (for example, a sponsor's video or logo) selected by the division or event you are viewing — not by tracking you across apps or websites — and we measure only aggregate engagement (such as total views) for a sponsor's reporting. We do not sell personal information, and we do not use children's information for behavioral advertising.
Children's Privacy (COPPA)
The Service is designed for use by children as young as 7, and we comply with the Children's Online Privacy Protection Act (COPPA). We collect personal information from a child — including the child's competition video and the information listed above — only after obtaining verifiable consent from the child's parent or legal guardian. That consent is captured through NMAO's Parental Consent & Video Release, which the parent/guardian must complete before the child competes; for school-run events, participating families also sign the release directly.
A parent/guardian may, at any time:
- review the personal information and videos we have collected about their child;
- request that we correct or delete their child's personal information and videos; and
- withdraw consent and stop any further collection or use, which ends the child's participation.
We do not condition a child's participation on disclosing more information than is reasonably necessary. To exercise these rights, contact the child's school or email support@nmao.us; we will verify the parental relationship before acting on the request.
Data Retention
We retain account and competition information for as long as an account is active and as needed to operate the Service, and afterward as needed to comply with legal, tax, and accounting obligations and to resolve disputes.
Competition videos. Competition videos are retained for the duration of the competitor's participation and for up to 12 months afterward, after which they are deleted — unless (a) the parent/guardian (or adult competitor) requests earlier deletion, or (b) the parent/guardian (or adult competitor) has separately opted in to promotional use, in which case a video approved for promotion may be kept for that purpose until the opt-in is withdrawn. Videos are kept private and are used only to operate the tournament (and, where separately opted in, for promotional material) — for no other purpose. A parent/guardian (or adult competitor) may request deletion of their videos at any time by emailing support@nmao.us, and we honor such requests. We also delete information collected from anyone who does not complete the required consent.
Your Rights and Choices
Depending on where you live, you may have rights to access, correct, delete, or obtain a copy of your personal information, and to object to or restrict certain processing. To exercise these rights, contact your school or email support@nmao.us. We may need to verify your identity, and some information must be retained for legal or operational reasons.
Security
We use administrative, technical, and organizational safeguards designed to protect information, including row-level access controls, encryption in transit, and restricted access to systems and video. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
California and Other U.S. State Residents
If you are a California resident, the California Consumer Privacy Act (CCPA/CPRA) provides additional rights, including the right to know what categories of personal information we collect, to request deletion, to correct inaccurate information, and to non-discrimination for exercising these rights. We do not sell personal information and do not engage in cross-context behavioral advertising. Residents of other states with comparable laws may have similar rights. To exercise these rights, contact support@nmao.us.
International Users
The Service is operated in the United States. If you access it from outside the United States, you understand that your information will be processed in the United States, where privacy laws may differ from those in your country.
Cookies and Tracking
We use only the cookies and similar technologies needed to sign you in and operate the Service. We do not use third-party advertising or cross-site tracking cookies.
Changes to This Policy
We may update this Policy from time to time. When we make material changes, we will update the "Last updated" date and, where appropriate, provide additional notice. Changes affecting the collection or use of children's information will not apply retroactively without renewed parental consent where required.
